Your booking software is the first thing most customers touch. Before they see your bays, courts or rooms, they see your booking page. If it is slow, confusing or hard to use on a phone, they give up and book somewhere else. If it is quick and clear, they book, come back, and tell their friends.
That makes choosing booking software one of the bigger decisions you will make as an owner. It decides how easily people can pay you, how full your quiet hours get, how much time you spend fixing things, and whether you can grow without starting over. Yet many owners pick a system from a feature list and a quick sales call, then live with the consequences for years.
This checklist is here to help you choose well, whatever you end up buying. Each question is one an owner can answer by trying the product, not by reading a spec sheet. Take it into every demo you book.
Before you start: know what you need
A booking system should fit the way your venue already makes money. Before you look at any product, spend a few minutes writing down the basics:
- What do customers book: a bay, a court, a room, a lane, a desk, a session with an instructor?
- Do people book fixed slots, or do they want to start at any time?
- Where does your revenue come from: walk-ins, regulars, members, groups, events, lessons?
- Which hours are busy and which are quiet?
- Are you staffed all day, some of the day, or not at all?
- Do you have one location, or plans for more?
Keep this list next to you during every demo. It stops you getting pulled toward clever features you will rarely use and keeps attention on the ones you will use every day.
The checklist
Can customers book in a few taps on a phone?
Most bookings now start on a phone, often late in the evening or on the way somewhere. Try it yourself. Open the booking page on your own phone, pick a time, choose the number of players, and pay. Count how many screens you pass through. Notice whether you have to create an account before you see a price, or type your card details into a cramped form.
The best systems feel almost boring: pick a time, confirm, pay. Look for the price updating as you change the group size, so nobody gets a surprise at checkout, and for quick payment options like Google Pay. With HiO, customers book in three taps on any phone.
Can you run it from your phone?
Owners are rarely at a desk. You are on the floor, at another location, at home, or on holiday. Ask the vendor to hand you their admin on a phone and try the everyday jobs: move a booking, extend one, refund a payment, let someone in who is stuck at the door, text a customer a payment link.
If those jobs need a laptop, you will end up either carrying one everywhere or leaving things until later. A good mobile admin lets you handle the day from your pocket.
Does it fill quiet hours?
Every venue has them: weekday afternoons, early mornings, the hour after a busy evening winds down. Empty time is money you do not get back, so ask how the software helps fill it.
Basic systems let you set peak and off-peak prices by hand. Better ones help you find and fill the gaps for you: spotting the quietest times and offering a lower price there, showing customers those deals first, and placing bookings so the calendar has fewer awkward gaps. HiO does all of this with smart pricing. For more ideas beyond software, read our guide to filling quiet hours.
Does it handle memberships?
Regulars and members are the steadiest revenue a venue has. Ask how the system handles monthly and annual plans, pausing a membership, hour packages, credits, gift cards and coupons. Ask what a member sees when they book: do their benefits apply by themselves, or do they need a code or a call to the desk?
If memberships sit in a separate tool, you will spend time reconciling the two and members will feel the seams. Look for one place where plans, packs and bookings live together. Our post on memberships that keep members covers how to design the plans themselves.
Does your brand lead?
Your customers chose you, not your software vendor. Check whose logo and colours sit on the booking page, in the confirmation email and in the reminder texts. A booking page that looks like yours builds trust and keeps customers thinking about your venue, not a marketplace full of alternatives.
Is moving from your current system simple?
Switching feels risky, and for good reason. Your customer list, your members and their plans are the heart of the business. Ask plainly: who moves my customers and memberships across, and what do members have to do?
The answer you want is that the vendor helps bring your customers and memberships over, and that members carry on with as little disruption as possible. Ask how long a typical switch takes for a venue like yours, and whether you can run a quiet test before you go live.
Is it built for your kind of venue?
General appointment tools are made for haircuts and consultations. Venues that rent time are different. A golf simulator needs the bay to switch on when the booking starts. A pickleball facility needs leagues, clinics and open play in the same calendar. A karaoke room needs group pricing and add-ons. A fitness studio needs classes and memberships.
Look for software that speaks your language out of the box, with pages and examples for venues like yours. HiO has dedicated setups for indoor golf simulators, pickleball courts, karaoke and party rooms and many more.
Can it run without a front desk?
Even if you are fully staffed today, ask whether the system could run your venue without someone at the desk. That means door codes or unlock links that arrive with each booking, waivers each player agrees to from their own link, reminders by email and text, and staff alerts when something needs a human. These tools save time even in a staffed venue, and they open the door to longer hours later. Our post on automating the front desk goes deeper.
Can it grow to more locations?
Many owners start with one site and later add a second, or turn the concept into a franchise. Moving systems at that point is painful. Ask whether the software handles several locations under one login, memberships that work at every site, and a head office view across locations. Even if growth is years away, it is worth knowing the ceiling before you start. HiO includes multi-location and franchise tools for exactly this.
Are payments simple and yours?
Ask where the money goes and how fast. Using a payment provider you already know, such as Square, keeps things familiar for you and your accountant. Check that refunds and cancellations are separate decisions, so you can cancel a booking without being forced to refund, or refund without cancelling.
How to run a fair demo
A demo is a sales pitch unless you steer it. A few habits help:
- Bring your own real scenarios, like a group of four booking two bays on a Friday night.
- Ask the vendor to book as a customer on a phone while you watch.
- Ask them to change that booking from the admin on a phone.
- Ask them to show a member booking with their benefits applied.
- Ask what switching looks like, step by step, for a venue like yours.
- Write down what they could not show you live.
If something is only on a slide, treat it as planned, not available.
Red flags to watch for
- Booking takes more than a handful of taps, or needs an account before the customer sees a price.
- The admin only really works on a laptop.
- Memberships or gift cards live in a separate tool.
- The vendor's brand is louder than yours on the booking page.
- Nobody can tell you clearly how your customers and members move across.
- The product was clearly built for appointments, and venues are an afterthought.
Putting it together
No system will be perfect, but the right one should make your customers' lives easier and your own days shorter. Score each option against the checklist, weigh the questions that matter most for your venue, and pick the one that does the everyday things well rather than the one with the longest feature list. You can see how HiO fits on our features and pricing pages.
If you'd like to see how this would look for your venue, book a demo and bring this checklist along. We will walk through each question on a phone, with your bays, courts or rooms in mind.
